Job Requirements

  • High school diploma or GED required
  • two years of relevant administrative or operational support experience preferred
  • demonstrated proficiency with Microsoft Office Suite including Word, Excel, Outlook, PowerPoint, and SharePoint
  • valid driver’s license
  • ability to multitask and meet deadlines under pressure
  • excellent communication and interpersonal skills
  • ability to maintain confidentiality
  • ability to work flexible hours including weekends and holidays
  • professional appearance
  • ability to lift or move up to 25 pounds
  • able to work onsite at Miami Beach Convention Center
  • available to work irregular schedules as needed

Job Qualifications

  • High school diploma or GED
  • two years of administrative or operational support experience preferably in public safety, security, venue operations, or compliance-driven environment
  • knowledge of safety, security, and transportation procedures
  • strong organizational and administrative skills
  • ability to prepare clear and concise reports and documentation
  • proficiency with Microsoft Office Suite
  • experience with safety reporting and incident management systems preferred
  • excellent communication and interpersonal skills
  • ability to maintain confidentiality and sound judgment
  • strong analytical and problem-solving skills
  • professional appearance
  • ability to work independently or as part of a team
  • bilingual in English and Spanish preferred
  • valid driver’s license

Job Duties

  • Answer and route incoming calls
  • greet visitors and assist with inquiries
  • maintain a professional front desk environment
  • process visitor access requests and issue temporary passes
  • log guest and vendor activity
  • receive, sort, and distribute mail, deliveries, and messages
  • assist with scheduling tasks including roster distribution and meeting coordination
  • prepare and route correspondence and internal communications
  • organize and maintain departmental records and documentation
  • ensure proper document formatting and version control
  • perform accurate data entry for operational and compliance documents
  • assist with maintaining OSHA-required documentation and compliance tracking
  • support preparation of operational and safety reports and dashboards
  • provide administrative support during major events, drills, and inspections
  • assist with procurement and vendor coordination including purchase orders and invoice tracking
  • coordinate routine communication with internal departments and external partners
  • maintain confidentiality of sensitive records and communications
  • perform additional clerical duties as needed
