Job Requirements

  • High school diploma or GED required
  • minimum two years administrative or operational support experience
  • proficiency with Microsoft Office Suite
  • valid driver’s license
  • ability to handle sensitive and confidential information
  • capacity to work long and irregular hours including evenings and weekends
  • ability to lift up to 25 pounds
  • excellent verbal and written communication skills
  • ability to maintain professionalism under pressure
  • willingness to work onsite at Miami Beach Convention Center

Job Qualifications

  • High school diploma or GED
  • two years of administrative or operational support experience, preferably in public safety or compliance-driven environments
  • knowledge of safety, security, and transportation procedures
  • strong organizational and administrative skills
  • ability to prepare clear reports and documentation
  • proficiency with Microsoft Office Suite
  • excellent communication and interpersonal skills
  • ability to maintain confidentiality and demonstrate sound judgment
  • strong analytical and problem-solving abilities
  • professional appearance
  • ability to work independently and collaboratively
  • bilingual English and Spanish preferred

Job Duties

  • Answer and route incoming calls
  • greet visitors and assist with inquiries
  • process visitor access requests and issue temporary passes
  • receive, sort, and distribute mail and deliveries
  • assist with scheduling tasks including roster distribution and meeting coordination
  • prepare and route correspondence and internal communications
  • organize and maintain departmental records including SOPs and incident logs
  • ensure proper document formatting and accessibility in designated platforms
  • perform accurate data entry for operational and compliance documentation
  • assist with maintaining OSHA-required documentation
  • support preparation of safety reports and event documentation
  • provide administrative support during major events and inspections
  • assist with procurement and vendor coordination
  • coordinate communication with internal departments and external partners
  • maintain confidentiality of sensitive records
  • perform additional administrative duties as required
