Job Requirements
- Bachelor's degree in facility management or business administration
- or five years equivalent experience with at least three years work-related experience
- working knowledge of mail room distribution services and operation of mail sorting/folding machines
- strong problem-solving, organizational, and time-management skills
- high attention to detail and accuracy
- ability to handle multiple tasks under pressure with competing priorities
- excellent proficiency in Microsoft Office 365 including Excel and database applications
- valid driver's license with reliable insured vehicle
- physical ability to lift, carry, push, and pull up to 75 pounds
- daily presence required at Linthicum office
- capability to perform installations, deliveries, and general business support tasks
- ability to operate with discretion and confidentiality
Job Qualifications
- Bachelor's degree in facility management, business administration, or related field
- or five years equivalent experience including minimum three years relevant work experience in facility or administrative roles
- previous experience in mailroom distribution services and operating mail sorting or folding machines
- strong problem-solving skills
- excellent written, organizational, and time-management abilities
- attention to detail with high accuracy
- ability to multitask and manage conflicting priorities effectively
- capability to track and report progress on multiple concurrent tasks
- proficiency with Microsoft Office 365, including Excel and various database software
- ability to maintain discretion and confidentiality
- excellent communication and interpersonal skills
Job Duties
- Coordinate sorting and distribution of incoming mail according to procedures and schedule
- process daily outgoing mail including packaging, batching, and postage management
- coordinate shipping through vendors such as UPS, USPS, and FedEx
- maintain appropriate mailroom supplies and printed materials
- replenish postage on postage meters
- maintain records of receipts and mailing dates
- develop efficient systems for large mailings to reduce costs and improve efficiency
- ensure operational functionality and maintenance of office equipment including photocopiers, telephones, postage machines, and security systems
- maintain monthly equipment and facility checklists
- ensure a safe, clean, and functional physical workspace
- receive and process work order requests and ensure timely resolution
- collaborate with property management to address facility issues, inspections, and updates
- act as liaison between property management and contractors for specialized problem resolution
- serve as primary contact for facility-related problems after business hours
- coordinate site safety programs to promote a healthy work environment
- assist with facilities planning and office moves
- manage new provider application packets through to letter response
- obtain missing provider data and credentialing information
- communicate with providers to verify data and share information
- fulfill low volume mail merged events
- analyze provider data for timely and accurate project completion
