Job Requirements

  • Bachelor's degree or equivalent education and/or work experience
  • minimum 1 year of project coordination or internal/external client service experience
  • demonstrated knowledge of contract terminology
  • excellent keyboarding and computer skills
  • proven ability to build successful working relationships with clients, suppliers and contacts
  • strong leadership, interpersonal, organizational, administrative and communication skills
  • demonstrated continuous improvement in responsibilities
  • proficiency in Microsoft Windows, Excel, Word, Outlook, and ERP
  • availability to travel less than 5%
  • preferred experience reviewing contract terms including billing, penalties, milestone payments, and international commercial terms
  • knowledge of international shipping policies
  • proficiency in shipping document creation and trade management software
  • familiarity with Oracle E-Business Suite Projects and/or Order Management

Job Qualifications

Job Duties

  • Evaluate commercial terms and conditions of client contracts and purchase orders
  • resolve, refer, or escalate discrepancies and omissions
  • compare ERP data to contract and PO commercial terms and identify errors
  • manage client PO and contract shipment requirements including billing and revenue milestones
  • generate and execute letters of credit, standby letters of credit, and surety bonds
  • create, manage, issue, and reconcile invoice milestones including deferrals, multi-currency, and taxes
  • record revenue in ERP verifying contract fulfillment
  • resolve client issues related to commercial documents and schedules
  • identify and communicate resolutions to client delivery issues
  • advise on generation of letters of credit, standby letters of credit, and surety bonds
  • advise on order setup and change orders
  • create and monitor billing milestones updating ERP
  • generate draft pay applications and lien waivers
  • arrange cost-effective domestic and international shipping and storage
  • monitor project schedules and identify high-risk shipments
  • analyze freight forwarder schedules and assist with loading and workload forecasting
  • review business reports and recommend solutions
  • run export determination process and resolve errors
  • generate commercial invoices, packing lists, and required documentation
  • create import/export documentation compliant with laws and regulations
  • advise on international trade requirements
  • coordinate cross-functional teams to ensure timely delivery
  • determine total freight cost exposure
  • review and approve freight forwarder invoices
