Job Requirements

  • High school diploma or equivalent
  • prior experience in event coordination or similar administrative support
  • strong organizational skills
  • excellent communication skills
  • ability to manage multiple tasks simultaneously
  • proficiency with computer applications and online payment systems
  • attention to detail
  • ability to work collaboratively in a team environment
  • flexibility to work evenings and weekends as needed

Job Qualifications

  • High school diploma or equivalent
  • experience in event coordination or related administrative roles
  • strong organizational and multitasking skills
  • excellent communication and interpersonal abilities
  • familiarity with hospitality and artist services
  • ability to work under pressure and meet deadlines
  • experience with database management and digital program materials
  • knowledge of royalty reporting processes is a plus
  • proficiency with office software and online systems
  • teamwork-oriented mindset

Job Duties

  • Provide on-site support for Music in the Mansion performances
  • organize hospitality and catering including shopping and setup
  • prepare green room and artist dressing rooms
  • coordinate hotel accommodations and transportation
  • manage company ticket requests
  • ensure timely payment of artist fees
  • assist with artist arrival, rehearsals, concerts, and departures
  • support Music Center Shows and summer programming with event logistics
  • organize artist hospitality needs including shopping and cleanup
  • assist with special projects such as UkeFest and Bernard/Ebb Songwriting Competition
  • manage hospitality closets and inventories
  • oversee laundry service requests and linen management
  • maintain digital program books for performances
  • submit royalty reports and payments to ASCAP and BMI
  • maintain artist history database
  • attend departmental and interdepartmental meetings
  • operate within approved budgets
  • perform other duties as assigned
