Job Requirements
- High school level education with six years of related work experience including four years in the same job family at next lower level
- Or four years of related work experience and an Associate degree
- Or little or no work experience with a Bachelor degree in a related field
- Commitment to maintaining strict confidentiality
- Ability to work with sensitive information
- Ability to initiate and complete tasks with minimal supervision
- Strong attention to detail
- Ability to prioritize and meet deadlines
- Excellent interpersonal and communication skills
- Proficiency with Microsoft Office applications especially Excel
- Ability to learn and use new IT tools and databases

- Experience with social media in a professional environment and graphic design software such as Canva preferred
Job Duties
- Provide logistical support for regional club programming including scheduling materials and logistics for staff travel and alumni events
- Support club initiatives including Yale Book Award webinars club volunteer recognition faculty talks volunteer recruitment research and Yale-Harvard Game pep rally
- Provide customer service registration processing attendance reports web updates and other support for events
- Draft promotional communications and social media content for programs and events
- Prepare test and edit broadcast email communications
- Manage correspondence in departmental email account and schedule conference calls
- Format lists for attendance and engagement activities review lists and reports for completeness and errors
- Maintain team updates in project management software
- Manage volunteer roles and upload event reports to alumni database
- Complete administrative office tasks including ordering office supplies
- Provide financial support including submitting invoices purchase orders contracts reimbursements and processing purchasing card transactions
- Provide administrative support to other YAA units as needed
- Oversee and coordinate program activities establish procedures and systems
- Serve as principal source of information on policies and programs
- Process and monitor expenses ensuring budget adherence and prepare budget drafts
- Compose substantive correspondence and reports and compile data
- Provide editorial support and proofread material
- Coordinate activities of support staff
- Ensure compliance with University Federal and State guidelines
- Perform other assigned duties
