Job Requirements

  • College education in a related field of study or four years of experience in event planning and management

Job Duties

  • Lead planning and coordination of special events from start to finish
  • manage recruitment, promotion, and event logistics including menu planning, rentals, space reservations, parking, and security
  • coordinate with campus partners and vendors to implement events
  • generate work orders and requests for facilities, transportation, security, and catering
  • attend and facilitate events including operations and reporting
  • settle programs by processing invoices, returning rented items, and cleaning event sites
  • provide clerical and administrative support such as data entry and processing materials
  • organize travel schedules and arrangements for event participants
  • collaborate with communications team to promote programs
  • manage event and program registration possibly using online software
  • oversee online meetings and conferences via Zoom or similar platforms
  • supervise student workers, volunteers, and vendors
  • manage event timelines, schedules, and budgets
  • track and approve expense reports from team and vendors
  • serve as main contact for vendors, partners, and participants
  • assist international travelers with travel documentation and reimbursements
  • keep accurate records of travelers documentation and schedules
  • perform other related duties as assigned
