Job Requirements

  • Ability to work in extreme weather conditions typical to west central Florida such as heat, rain, or cold
  • Ability to use radio, telephone, and computer for communication and instructions
  • Must be willing and able to work varied and long shifts including holidays and weekends
  • Must be able to plan for, work, and staff special events and exhibits with availability for unexpected shifts
  • Must be able to work in various physical positions including sitting, bending, standing, walking, and driving
  • Must be able to lift over 50 pounds and carry event items such as signs, supplies, linens
  • Proficient with Microsoft Office and database software
  • Thorough knowledge of Excel and PowerPoint
  • Flexible schedule including nights, weekends, and holidays

Job Qualifications

  • AA or Bachelor’s degree in hospitality, communications, marketing, business, or related field
  • Knowledge of protocols, etiquette, and social norms
  • Demonstrates poise, tact, and diplomacy
  • Exhibits project management skills including designing, implementing, and tracking events
  • Must be deadline oriented
  • Ability to respond and resolve sensitive inquiries or complaints
  • Ability to influence and lead other departments
  • Ability to follow instructions and self-direct
  • Capacity to plan ahead over multi-year time span
  • Ability to identify and correct operational problems quickly
  • Ability to organize, prioritize, and manage multiple priorities
  • Must be able to think logically and solve problems with minimal guidance
  • Excellent interpersonal and communication skills
  • Ability to multi-task in a fast-paced environment while maintaining a positive attitude
  • Basic AV knowledge including projector, screen, and microphone usage
  • Ability to maintain discretion regarding donor information
  • Ability to communicate ideas effectively.

Job Duties

  • Conducts all activities in alignment with AZA standards and guidelines, all relevant laws and regulations, safety standards, and standards that ensure animal welfare
  • Acts as primary contact, project manager, and facilitator of all zoo events as assigned
  • Point of contact for clientele from beginning to end of event to plan, implement, and manage all private events
  • Develops and maintains systems to capture institutional knowledge about all zoo private events to ensure continual improvement
  • Responsible for entering event contract addendums in catering software and communicating changes to zoo departments
  • Provides detailed timelines and checklists for approval prior to events including event diagrams
  • Clearly defines staff coverage for event preparation, delivery acceptance, event oversight, and wrap-up
  • Participates in pre-event and events meetings with all zoo departments
  • Coordinates staff requests between departments
  • Checks in with department heads to address event concerns
  • Ensures adequate inventories of event supplies prior to events
  • Attends weekly BEO meetings with Director of Catering
  • Manages information flow and department coordination in event execution
  • Manages external event planning
  • Monitors expenditures to ensure compliance with purchasing policies
  • Ensures quality guest service by suggesting and implementing improvements
  • Ensures timely and accurate communication to guests, staff, and management
  • Ensures company and regulatory compliance related to functional areas
  • Enhances, develops, implements, and enforces policies and procedures for continual improvement
  • Maintains thorough documentation of all zoo events
  • Provides briefings to involved departments and executive summaries to peripheral staff
  • Facilitates regular planning meetings
  • Coordinates timelines, guidelines, and event plans across zoo departments
  • Assists with hands-on event setup and breakdown
  • Works closely with Food Department for event needs
  • Handles complex and confidential situations diplomatically
  • Maintains flexible schedule with availability for nights, weekends, and holidays
  • Performs other duties as assigned.
