Job Requirements

  • Bachelor's degree
  • Minimum one year of experience in event planning or coordination preferred
  • Proficiency in Microsoft Office Suite
  • Experience with event management software and CRM systems
  • Strong communication and customer service skills
  • Organized with a high degree of attention to detail
  • On-the-spot problem solving abilities
  • Ability to work independently and in a team atmosphere
  • Ability to lift more than 25 pounds
  • Ability to be on feet for several hours
  • Weekend and evening availability
  • Authorization to work in the United States without employer sponsorship

Job Duties

  • Serve as the primary point of contact for assigned private event clients at Union Depot
  • Oversee the entire event process from contract execution to post-event follow-up including client walk-throughs, event layouts, memos, vendor coordination, and client satisfaction
  • Manage day-of event venue operations including vendor load-in coordination, compliance with venue policies, troubleshooting, and client relations
  • Collaborate with division leads, building tenants, caterers, and vendors to ensure successful private events
  • Manage event administrative tasks such as processing agreements, invoices, payments, vendor commissions, and record keeping using systems like Tripleseat, Active Campaign, and Square
  • Assist with planning and execution of annual open house
  • Attend networking events to promote Union Depot and build industry relationships
  • Stay current with event industry trends and best practices
  • Participate in team meetings and contribute ideas for venue and event improvements
  • Support marketing team on public events as needed
