Job Requirements

  • graduation from high school or equivalent general clerical experience or one year operating a telephone switchboard
  • three years of experience may substitute for the required education
  • none for licenses or certifications
  • able to operate PBX consoles and related communication equipment
  • strong verbal communication skills
  • ability to maintain confidentiality
  • capable of responding to emergency situations calmly and effectively

Job Qualifications

  • graduation from high school or equivalent general clerical experience or one year operating a telephone switchboard
  • three years of experience may substitute for the required education
  • typing skills and familiarity with word processing applications preferred
  • understanding of and adherence to corporate compliance plans
  • knowledge of HIPAA standards
  • ability to maintain confidentiality
  • effective communication skills
  • proficiency in using PBX equipment

Job Duties

  • responds to incoming calls in a timely manner and directs caller to appropriate destination providing a smooth, clear and professionally courteous communication practice
  • demonstrates an understanding of and adherence to the HMHD Compliance Plan
  • conducts reflects HMHD's values and commitment to the Code of Conduct
  • attends required corporate integrity and compliance training and education programs
  • complies with all HIPAA standards
  • corrects and updates posted information as needed
  • assists with maintenance of directories and on-call list
  • accurately utilizes features of PBX consoles, headsets, telephones and related equipment
  • assists with maintaining cleanliness, safety and security of the PBX area
  • maintains confidentiality, security and integrity of patient and organizational data
  • ensures release of information consistent with hospital policies
  • answers multiple incoming telephone lines using proper phone etiquette
  • obtains necessary information and transfers calls to correct extensions
  • provides information to callers as appropriate
  • performs overhead paging
  • monitors all alarms located in PBX and notifies appropriate personnel as required
  • responds quickly and accurately to disaster and emergency situations, remaining calm
  • maintains patient confidentiality at all times
  • complies with all organizational policies regarding ethical business practices
  • completes inservices and returns in a timely fashion
  • completes annual education requirements
  • attends annual review and department inservices
  • attends staff meetings, reads and returns all monthly staff meeting minutes
  • actively participates in performance improvement and continuous quality improvement activities
