Job Requirements

  • High school diploma or equivalent
  • Some receptionist or office experience preferred
  • Proficiency with computer systems and Microsoft Outlook, Word, and Excel
  • Must successfully complete required e-learning courses within 90 days of occupying position
  • At least eighteen months front medical office receptionist experience with insurance forms and scheduling software required for Level 2
  • Knowledge of practice personnel, daily routines, and scheduling a plus for Level 2
  • At least five years front medical office receptionist experience with insurance forms and scheduling software required for Senior level

Job Duties

  • Greet patients and visitors to the clinic in a prompt, courteous and professional manner
  • Check in patients and inform clinical staff of patient arrival
  • Provide and explain paperwork for the patient to complete prior to examination
  • Collect, proof for completeness, and file patient forms
  • Update demographics and insurance information in the system
  • Collect co-pays and balances
  • provide receipt
  • Answer, screen, and respond to routine questions
  • route to appropriate personnel or take thorough messages
  • Page clinic personnel as appropriate and communicate messages in a timely manner
  • Check patients out after examination
  • Schedule returning appointments in accordance with physician and/or office guidelines
  • Provide patients with appointment details such as time, location, directions, instruction sheets, and other details
  • Record patient cancellations and missed appointments
  • reschedule appointments
  • notify appropriate staff of cancellations and make notes in patient chart
  • Provide general administrative support by filing charts and forms
  • maintain lobby area in a neat and orderly manner
  • maintain a legible supply of forms and appropriate office supplies
  • Adhere to confidentiality, state, federal, and HIPAA laws and guidelines with regards to patient’s records
  • Perform other duties as requested or assigned
