Job Requirements

  • High school diploma or equivalent
  • proficiency with computer systems and Microsoft Outlook, Word, and Excel
  • some receptionist or office experience preferred for level 1
  • at least 18 months front medical office receptionist experience with insurance forms and scheduling software required for level 2
  • at least 5 years front medical office receptionist experience with insurance forms and scheduling software required for senior level
  • must successfully complete required e-learning courses within 90 days of occupying position
  • adhere to confidentiality and HIPAA laws
  • ability to sit regularly and occasionally stand, walk, reach, and lift up to 30 pounds
  • vision and hearing corrected to normal ranges

Job Qualifications

  • High school diploma or equivalent

  • knowledge of practice personnel, daily routines, and scheduling a plus for level 2
  • at least 5 years front medical office receptionist experience with insurance forms and scheduling software for senior level

Job Duties

  • Greet patients and visitors to the clinic in a prompt, courteous and professional manner
  • check in patients and inform clinical staff of patient arrival
  • provide and explain paperwork for the patient to complete prior to examination
  • collect, proof for completeness, and file patient forms
  • update demographics and insurance information in the system
  • collect co-pays and balances
  • provide receipt
  • answer, screen, and respond to routine questions or route to appropriate personnel
  • page clinic personnel as appropriate
  • communicate messages accurately and timely
  • check patients out after examination
  • schedule returning appointments according to physician or office guidelines
  • provide patients with appointment details
  • record patient cancellations and missed appointments
  • reschedule appointments
  • notify appropriate staff of cancellations and note in patient chart
  • provide general administrative support by filing charts and forms
  • maintain lobby area neat and orderly
  • maintain legible supply of forms and office supplies required for daily activities
  • adhere to confidentiality, state, federal, and HIPAA laws and guidelines
  • perform other duties as assigned
