Job Requirements

  • High school diploma or equivalent
  • Previous experience in healthcare or clinical trial environment preferred
  • Proficient in using Microsoft Office and digital communication tools
  • Excellent communication and interpersonal skills
  • Ability to manage sensitive patient information with confidentiality
  • Strong organizational skills and attention to detail
  • Ability to handle multiple tasks and meet deadlines

Job Qualifications

  • Experience in clinical trial support or healthcare services preferred
  • Strong organizational and communication skills
  • Ability to manage multiple tasks and prioritize effectively
  • Proficiency with digital communication platforms and Microsoft Office
  • Knowledge of Good Clinical Practice and data protection regulations desirable
  • Compassionate and patient-centered approach
  • Experience working with travel booking or reimbursement systems an advantage
  • Ability to work independently and collaboratively in a fast-paced environment
  • Detail-oriented with a commitment to accuracy and confidentiality
  • Experience in customer service or patient liaison roles valued.

Job Duties

  • Manage travel logistics or reimbursement processing for patients participating in assigned clinical trial projects
  • Collaborate with PCS Project Managers, the Patient Concierge Services Manager, and internal teams to understand study requirements and implement appropriate patient support services
  • Support the setup of new projects, including mailbox creation, portal access, SharePoint folders, and preparation of study-specific documentation
  • Review and validate patient enrolment information and approve patient access to designated digital platforms
  • Serve as a primary point of contact for patient requests submitted through app, email, or phone, ensuring timely and compassionate responses
  • Coordinate flight, train, accommodation, or ground transport bookings using approved systems or travel providers
  • Review and verify patient reimbursement requests, ensuring compliance with study-specific policies
  • Approve, reject, or escalate reimbursement or stipend submissions based on study criteria and internal policies
  • Communicate with patients or caregivers to confirm logistics, provide reimbursement updates, and resolve queries
  • Liaise with clinical sites to provide guidance or resolve issues related to reimbursement or travel coordination
  • Ensure timely processing of patient payments, stipends, or travel confirmations using approved systems
  • Manage allocation and tracking of patient payment cards as required
  • Maintain accurate documentation by updating patient information, visit records, and service logs in real-time
  • Assist with reimbursement submissions on behalf of patients when needed
  • Contribute to service improvements by identifying gaps and supporting internal initiatives
  • Support financial tracking and monthly reporting activities
  • Ensure strict patient confidentiality and compliance with GCP, data protection regulations, and company SOPs
  • Participate in client meetings, site initiation visits, and investigator meetings as requested
  • Stay current on tools, technologies, and processes related to patient travel and reimbursement coordination
  • Support internal team projects and initiatives as needed.
