Job Requirements

  • High school diploma or equivalent
  • at least one year of receptionist experience preferred
  • familiarity with switchboard functions
  • proficiency in Microsoft Word, Excel, Publisher, and Outlook
  • strong communication skills both in person and on the phone
  • ability to follow directions accurately and timely
  • flexibility and willingness to learn
  • ability to maintain a professional and organized work environment

Job Qualifications

  • proficiency in Microsoft Word, Excel, Publisher, and Outlook
  • ability to communicate clearly, courteously, and professionally in person and by phone
  • ability to take direction and follow through accurately and timely
  • flexibility and willingness to learn new office skills

Job Duties

  • Answer and route incoming calls in a pleasant and professional manner
  • document messages and distribute to appropriate individuals
  • screen calls and visitors, directing them to staff or meetings professionally
  • monitor and assist visitors waiting in the lobby
  • ensure visitors sign in and out and are escorted appropriately
  • maintain logs for safety and accountability
  • manage interoffice mail and outgoing mail trays
  • create daily sign-in and sign-out sheets for staff and visitors
  • schedule and monitor conference room usage using Outlook calendar
  • provide administrative and clerical support to supervisor and management staff
  • complete special projects and assignments
  • secure and distribute staff and client checks on designated dates
  • collaborate with vendors servicing the building
  • collect monies, write receipts, and maintain spreadsheets as instructed
  • coordinate coverage for planned absences
  • maintain a clean, organized, and professional reception area
  • assist with holiday decorating of the lobby
