Job Requirements

  • High school diploma or equivalent
  • previous experience in a receptionist or administrative role preferred
  • excellent telephone etiquette and communication skills
  • proficiency in MS Office applications including Word and Excel
  • ability to maintain confidentiality and security of information
  • strong organizational and multitasking abilities
  • ability to work approximately 15-20 hours per week with availability to cover for full-time receptionist
  • reliable and punctual
  • ability to lift up to 30 lbs occasionally
  • able to sit for extended periods
  • strong attention to detail
  • ability to follow written and verbal instructions
  • positive and professional demeanor

Job Qualifications

  • High school diploma generally required
  • knowledge of administrative and clerical procedures
  • knowledge of computers and relevant software application
  • knowledge of customer service principles and practices
  • must have excellent alpha/numeric data entry skills
  • able to read and/or follow written and verbal instructions and implement the same
  • excellent computer skills using MS Office (Word and Excel)
  • ability to interact with all levels of the organization
  • high ethical standards
  • excellent communication skills (both oral and written)
  • ability to meet individual deadlines, as well as work collaboratively with team to help them meet deadlines

Job Duties

  • Answer telephone, screen and direct calls
  • take and relay messages
  • provide information to callers
  • greet persons entering organization
  • direct persons to correct destination
  • deal with queries from the public and customers
  • ensure knowledge of staff movements in and out of organization
  • monitor visitor access and maintain security awareness
  • provide general administrative and clerical support
  • receive and sort mail and deliveries
  • schedule appointments
  • organize conference and meeting room bookings
  • co-ordinate meetings and organize catering
  • monitor and maintain office equipment
  • control inventory relevant to reception area
  • tidy and maintain the reception area
  • perform additional assignments per supervisor's direction
