Cherry Valley Village Hall, located in the heart of the charming Village of Cherry Valley, Illinois, serves as the central administrative hub for the community. Job Requirements

  • High school diploma or equivalent
  • Previous experience in administrative or receptionist roles preferred
  • Proficiency in Microsoft Office
  • Ability to handle multi-line phone systems
  • Strong interpersonal skills
  • Ability to work between 10:00 AM and 3:00 PM Monday through Friday
  • Availability for occasional evening hours
  • Must be or able to become a Notary Public
  • Commitment to confidentiality
  • Positive and professional demeanor
  • Ability to work independently and as part of a team

Job Qualifications

  • General knowledge of bookkeeping, recordkeeping, and office management
  • Proficiency in Microsoft Office (Word, Excel, Outlook) and QuickBooks
  • Excellent communication and customer service skills, with the ability to interact professionally with the public
  • Strong organizational skills and attention to detail
  • Ability to manage multiple tasks and priorities in a busy office environment
  • Must maintain a high level of confidentiality and professionalism
  • Must be or be able to become a Notary Public and Deputy Registrar

Job Duties

  • Greet and assist visitors, answer incoming calls, and provide general information or direct inquiries to appropriate staff
  • Manage pavilion and gazebo rentals, including recording rentals and handling deposits per Village policy
  • Receive and sort incoming mail, assist with permit issuance, and support license and fee processing
  • Provide notary services and assist with voter registration
  • Receive and direct public complaints and inquiries courteously and efficiently
  • Support tourism and promotional efforts, including maintaining brochures and lobby materials and assisting with revisions
  • Assist with water billing and serve as backup as needed
  • Maintain and organize Village records and filing systems
  • Serve as Deputy Clerk and Deputy Registrar when required
  • Post and distribute meeting agendas and assist in preparing meeting minutes
  • Assist the Village Clerk in maintaining and updating Village ordinances and liquor license records
  • Perform proofreading of official documents, meeting minutes, and other materials
  • Provide administrative support for special projects across departments, including Public Works, Police, and Administration
  • Assist with intergovernmental communication and information requests
  • Process water payments (Epay, Ipay, and in-person) and assist with related financial tasks
  • Serve as backup for Village website updates and maintenance
  • Take meeting minutes at evening meetings in the Clerk's absence
  • Perform other duties as assigned by the Village Administrator or Village President
