Job Requirements

  • Two years experience in clerical accounting technician or data entry work involving public contact or a combination of education training or experience providing equivalent background
  • Ability to use computer software for scheduling permitting record keeping and reporting
  • Strong communication and customer service skills
  • Ability to work with diverse communities respectfully
  • Capability to manage complex scheduling processes and regulations
  • Good judgment and problem-solving abilities
  • Ability to maintain composure under repetitive tasks
  • Willingness to engage collaboratively with internal and external partners
  • Reliable and organized work habits

Job Qualifications

  • Two years experience in clerical accounting technician or data entry work involving public contact or equivalent education training or experience
  • Organized extremely detail-oriented adept at problem solving with limited supervision and able to maintain composure under repetitive circumstances
  • Experience working with diverse communities including economic ethnic age gender religion and sexual orientation
  • Experience in a windows-based environment and with ActiveNet system software and MasterLibrary
  • Effective dealing with permitting and complex usage regulations and scheduling indoor facilities playfields and parks
  • Exercising good judgment in addressing complex issues involving multiple competing goals
  • Working with partners and stakeholders to hold them accountable to meet deadlines
  • Navigating challenging conversations asking good questions and answering emails
  • Creativity and self-starting readiness to research and try new ideas

Job Duties

  • Schedule permit coordinate and review activities on Seattle Parks and Recreation and Seattle Public Schools indoor and outdoor facilities
  • Use and maintain a variety of computer software and applications for permitting keeping records gathering information entering data maintaining digital files and creating reports
  • Regularly engage in clear collaborative and inclusive communication with internal and external partners including Seattle Public Schools community organizations and Seattle Parks and Recreation staff while effectively responding to both routine and complex customer inquiries and issues
  • Provide oversight for permit billing and accounts receivable and contribute to joint use agreement negotiations
  • Work closely and respectfully with people from a broad range of cultural backgrounds
  • Manage and implement existing scheduling processes
  • Develop maintain and generate reports for permit tracking
  • Review applications and requests to determine compatibility of events rentals with facilities and playfields schedule and meet with colleagues and user groups to explain fees and other regulations and policies
  • Provide efficient timely quality customer service
  • Maintain a positive professional and respectful work environment while emphasizing cooperation information sharing and good problem-solving skills
  • Prepare and deliver permit revenue deposits to the bank
  • Perform related duties as required
