Job Requirements

  • High school diploma or equivalent
  • Proven experience in an executive assistant or administrative support role
  • Strong organizational and time management skills
  • Ability to manage multiple priorities and meet deadlines
  • Proficient in Microsoft Office and online communication platforms
  • Excellent verbal and written communication skills
  • Ability to maintain confidentiality and handle sensitive information appropriately
  • Experience with database management
  • Flexibility to work occasional evenings or weekends as needed

Job Duties

  • Schedule Mass intentions, baptisms, weddings, funerals/parlor services/gravesides
  • Schedule in-office and out-of-office appointments and meetings
  • Prioritize appointments, assess urgency, and ensure preparedness for events
  • Coordinate the Parish Master Calendar of Masses, ministry meetings and events
  • Manage incoming phone calls and direct appropriately
  • Greet visitors
  • Handle correspondence from parishioners and ensure responses
  • Create and publish Parish Bulletin
  • Update website, Facebook page, and parish app
  • Maintain parishioner database
  • Broadcast announcements
  • Disseminate Archdiocesan updates
  • Coordinate major social/fundraising events
  • Plan and collaborate for small and large events
  • Prepare event materials using tools like JotForms
  • Organize agendas, minutes, and logistics for councils, committees, and staff meetings
  • Organize files, event documentation, and archives
  • Collaborate with other staff members including Parish Business Manager
  • Handle contribution envelopes and prepare collection bags
  • Prepare and file invoices
  • Support Archdiocesan financial audit preparations
  • Maintain confidentiality with sensitive documents
  • Offer process improvements and optimize workflows
