The Parish Life Coordinator is a vital member of the Catholic Church community, working within a parish setting to support the spiritual and administrative needs of parishioners and clergy alike. Job Requirements

  • strong organizational and communication skills
  • ability to maintain confidentiality and exercise sound judgment
  • ability to work collaboratively with clergy, staff, volunteers and parishioners
  • proven work experience as a receptionist, front office representative or similar role preferred
  • proficiency in microsoft office suite
  • experience using flocknote preferred
  • refrain from promotion or approval of conduct or lifestyle that would discredit or cause scandal in relation to the archdiocese
  • commitment to catholic doctrine and morals

Job Duties

  • manage special collections
  • answer phone calls and greet visitors, offering assistance and information in a friendly and professional manner
  • assist parishioners with requests, including sacramental certificates and charitable referrals
  • assist with parish communications, including emails, bulletin content, flocknote, sharing appropriate marketing with the school, weekly mass announcements and website updates
  • create and print graphics when needed
  • responsible for mass intentions, special intentions and mass cards
  • provide monthly reports to sacristan, the ambo and the altar
  • provide monthly flyer of mass intentions and prayers for bulletin and flocknote
  • maintain holy days and special liturgies spreadsheet
  • coordinate clergy schedules with pastor for masses, adoration and confessions
  • provide monthly reports to sacristan
  • coordinate with liturgy leaders to ensure alignment and clear communication for all masses
  • assist with usccb, archden and bscc special initiatives
  • maintain the parish calendar and schedule events, managing conflicts as they arise
  • oversee and maintain schedule for ministries and outside speakers at masses
  • maintain accurate sacramental records with assistance from volunteers
  • audit records annually
  • coordinate weekly rosaries and sacramental activities, including marriages and funerals
  • help coordinate funeral planning and receptions with families and parish staff
  • prepare and process donations, deposits and financial records, including donor contributions in flocknote
  • generate check requests for substitute priests to pay for their monthly mass service and confessions
  • enter and maintain parishioner information in the parish database, flocknote
  • serve as the go-to person for flocknote updates and questions
  • assist in welcoming new parishioners
  • coordinate ushers, especially for special and additional masses
  • order and maintain office and parish supplies, including kitchen supplies
  • prepare monthly and annual reports, including sacramental reports for the archdiocese
  • assist with safe environment (virtus) documentation and compliance
  • maintain cleanliness and organization of office and common parish spaces
  • coordinate regular staff meetings
  • recruit and train volunteers
  • oversee parish library, kiosk and literature rack, bulletin boards and bulletin delivery
  • make recommendations for improvement of procedures and develop sops as needed
