Job Requirements

  • Minimum of two years’ experience in administrative support, event coordination, and customer service experience
  • Hands-on experience with community outreach event planning, execution, and management preferred
  • Background in food service, handling, and/or purchasing preferred
  • High proficiency required in Microsoft Office including Excel, Word, Outlook, and database systems
  • Good understanding of office equipment functions (i.e., copier, printers, fax, etc.)
  • Excellent organizational and problem-solving skills with strong attention to detail and time management
  • Adaptable and willing to work independently with flexibility and integrity, as well as effectively and harmoniously with team members, clients, family members, volunteers, government agencies/personnel, and the general public in a fast-paced work environment
  • Able to read, write, and understand the English language and speak the language in an understandable manner with effective verbal and written communication skills
  • Comfortable interacting with diverse populations and managing multiple tasks simultaneously
  • Possess sight/hearing sense or use prosthetics that will enable these senses to function adequately so that the requirements of this position can be fully met
  • Able to maintain regular attendance
  • Work will be performed at the office and participating community locations
  • May be required to work beyond normal working hours and in other positions on a temporary basis

Job Duties

  • Plans and organizes Swipe ‘N’ Dine events in partnership with the Program Coordinator and Program Director
  • Assists with the identification of venues, menu planning, food ordering, and delivery logistics
  • Actively participates in community outreach events and activities to promote engagement and increase awareness of program and services
  • Assists with scheduling, data input, record keeping, and other administrative tasks related to program operations
  • Maintains accurate documentation, including client registrations, event attendance records, food licenses, and food temperature to ensure compliance and readiness for audits
  • Provides hands-on support during events and programs including registration, set up, event coordination, food service, and clean-up to ensure smooth on-site operations
  • Delivers exceptional customer service when responding to phone calls, emails, and in-person inquiries regarding programs including timely follow up and communication
  • Provides administrative and programmatic support to department staff, including the Program Director and Program Coordinator, as needed
  • Serves as a team player committed to taking on various roles and responsibilities as required such as answering phones, responding to inquiries, placing meal orders, monitoring food inventory
  • Cultivates effective and respectful relationships with team members, clients, family members, volunteers, government agencies/personnel, restaurant and community partners, and the general public
