Job Requirements

  • A high school diploma or GED
  • Two years’ experience or applicable college degree
  • Excellent written and verbal communication skills
  • Strong communication and time management skills
  • MS Office Suite experience strongly desired
  • Excellent organizational skills and attention to detail
  • Ability to handle customer queries professionally
  • Ability to work independently and collaboratively with internal and external customers

Job Duties

  • Assist operations with the health and safety program including SDS management, behavior-based safety audits, emergency action plan documents, and regulatory reporting
  • Payroll administration
  • Candidate screening for the recruitment process
  • Personnel file management and security
  • Assist HR Director with OpEx people development pillar
  • New hire setup and onboarding including business cards, credit cards, welcome package, uniforms, supplies
  • Coordination of meal planning and catering for internal and external events
  • Arrange and complete setup and teardown for all events
  • Manage logistics and accommodations for employees and materials traveling to training, trade shows, conferences, and events
  • Maintain facilities annual calendar for inspections and repairs and alert leadership of upcoming service monthly
  • Sustain facilities database related to vendor information
  • Manage truck fleet registration, information files, and compliance notices with the service team
  • Audit vendor performance and provide feedback and corrective measures for underperformance
  • Assist with updating the company’s business continuity plan
  • Sustain office supplies for the site
  • Control front door facilities access for visitors
  • Manage outgoing and incoming postage and deliveries
  • Coordinate and monitor special orders for office personnel and managers
  • Administer and control the office VoIP phone system
  • Customer and vendor setup in the ERP system
  • Maintain physical checks log
  • Perform other duties as assigned
