Job Duties

  • create purchase orders and honoraria for outside vendors and contractors
  • process invoices and reimbursements through UC Berkeley BearBuy and Reimburse systems
  • manage general purchases and reconcile payments by department credit card
  • invoice partners and clients for payments due
  • track payments and share financial data with director of operations and executive director
  • develop, analyze, and maintain operations and event budgets
  • prepare operations and event budgets for grant proposals and reports
  • assist with organizational budgeting and reconcile expenses with financial reports
  • coordinate in-person and virtual events including public and donor events, advisory board meetings, and staff retreats
  • identify and contract with event venues and vendors including caterers, A/V technicians, photographers, and equipment rental
  • coordinate event speakers for travel arrangements and honoraria
  • process event-related payments
  • manage event registration and scholarship programs
  • handle pre- and post-event communication with participants
  • prepare applications for continuing education accreditation
  • coordinate on-site event logistics and accessibility needs
  • handle customer service and vendor concerns during events
  • update events on GGSC webpage
  • secure event supplies and maintain inventory
  • collect and synthesize feedback to improve events
  • secure campus event approvals
  • serve as primary contact for event inquiries
  • field incoming partnership requests and inquiries
  • assist with permissions and invoicing
  • direct requests to marketing and editorial staff
  • manage speaking requests and invoicing
  • oversee general email and voicemail communications and supervise student assistants
  • schedule all-staff meetings
  • participate in staff meetings and retreat
  • maintain and update contacts in CRM system
