Job Duties

  • Organize department meetings including scheduling, invitations, and documentation
  • manage warehouse office operations including scheduling, invoicing, and supply maintenance
  • support planning and coordination of department events such as staff training and appreciation parties
  • manage administration of internal fleet vehicles including maintenance schedules and licensing
  • maintain vendor pipeline tracker and support vendor communication
  • assist with project management tools setup and use
  • prepare and review vendor orders, permits, and payment requisitions
  • print and organize event site documents
  • create and edit presentations and event materials
  • input event staff details into operations systems
  • coordinate resource requests for staff and vendors
  • provide communication and support to operations staff and vendors
  • support development of department timelines and task management
  • plan event site workspaces and support on-site operations
  • manage operations trailer workspace and resources on event sites
  • assist Sr. Director of Operations with timeline and task management
  • lead or assist with special projects
  • provide daily administrative support including scheduling, expense processing, and travel coordination
  • complete permitting processes with various city agencies
  • manage permit task assignment and compliance
  • maintain historical permit records
  • coordinate permit payments with finance
  • attend pre- and post-event agency walkthroughs
  • perform other assigned duties
