Job Requirements
- High school diploma required
- prior travel industry experience is an asset but not required
- experience in client facing travel, hospitality, or embassy/consulate relations highly desirable
- previous high-touch case management experience preferred
- responsiveness to internal clients required
- proficiency with computer software, especially Outlook
- aptitude for learning new programs and commitment to data integrity
- must have a home office or distraction-free workspace when required
- ability to handle complaints and provide solutions
- adherence to attendance policy
- ability to meet productivity and quality metrics
- must commute daily to Seattle, WA office
Job Qualifications
- High school diploma
- proven customer service skills
- ability to work independently
- knowledge of visa and passport processes preferred
- familiarity with embassy or consulate relations desirable
- strong communication skills
- proficiency with Microsoft Outlook and aptitude for learning new software
- problem-solving abilities with a focus on customer satisfaction
- prior experience in travel, hospitality, or case management beneficial
Job Duties
- Represent CIBT in a professional manner
- adhere to strict onsite SLAs for answering phone calls, replying to emails, and reviewing trip approvals
- manage the entire process of obtaining visas and passports for employees
- provide accurate information and compile documentation required for travel documents
- advise travelers promptly about documentation problems
- notify onsite staff of consulate closures or requirement changes
- review agent and critical file lists daily to keep itineraries current
- ensure timely return of travel documents
- take passport photos as required
- inform supervisor of requirement changes
- maintain communication with operations office and liaise with backup agents
- train and update operations backup employee
- communicate visa and passport needs to operations
- adhere to standards of work policies and procedures
- ensure compliance with CIBT policy and ethics
- maintain professional relationships with operations staff
- support onsite company liaison with reports and related activities
- perform other job duties as assigned by management
