Job Requirements

  • High school diploma or equivalent
  • prior experience in receptionist or front desk role preferred
  • ability to maintain professionalism and confidentiality
  • excellent organizational skills
  • dependable with regular and predictable attendance
  • ability to use multi-line phone systems
  • proficient with basic office equipment and computer software
  • commitment to the mission and values of Catholic Charities

Job Qualifications

  • Ability to be friendly and professional with a variety of people in crisis
  • excellent interpersonal communication skills both on the phone and in person
  • ability to handle telephone with up to 24 incoming lines
  • computer experience
  • experience using copy machine, typewriter, and fax machine
  • knowledge of the service population's cultural and socioeconomic characteristics
  • ability to interact effectively as a team member and independently with Agency staff and diverse client base

Job Duties

  • Answer all incoming calls promptly and professionally
  • greet and assist clients and visitors
  • provide routine information or direct to appropriate staff
  • maintain a safe and clean reception area
  • announce visitors to appropriate personnel
  • monitor visitor access and complete logs
  • track visitor passes
  • monitor delivery and pick-up of packages
  • maintain current list of community resources for referrals
  • process outgoing and incoming mail
  • maintain records and files as assigned
  • provide clerical and secretarial services as needed
  • support and adhere to Catholic Charities' vision, mission, values and Code of Ethics
  • maintain confidentiality of client and agency information
  • participate effectively as a team member through communication, cooperation, information sharing and problem solving
  • participate in staff trainings and programs as required
  • perform other tasks as assigned
