Job Requirements

  • High school diploma or equivalent
  • Previous experience in office support or administrative assistance preferred
  • Ability to operate various office equipment including postage and copy machines
  • Strong organizational and multitasking skills
  • Excellent communication and interpersonal abilities
  • Ability to maintain confidentiality
  • Basic computer literacy including knowledge of database and word processing software
  • Willingness to work flexible hours including occasional extended shifts

Job Qualifications

  • Associate's degree in business administration or a closely related field, or equivalent experience
  • Ability to organize and prioritize tasks under time constraints with minimal supervision
  • Strong interpersonal skills for communication with attorneys and staff while maintaining confidentiality
  • Ability to identify, analyze, and solve facilities management issues
  • Proficiency in operating postage, facsimile, copy, and conference room equipment
  • Capability to use database, spreadsheet, and word processing software
  • Flexibility to work irregular hours and occasionally more than 40 hours per week

Job Duties

  • Open and close the office ensuring all office services and conference rooms are operational
  • Collect and distribute U.S. and inter-office mail, including postage handling and delivery to postal center
  • Log and ship outgoing Federal Express packages and ensure timely drop-off
  • Set up videoconference equipment and assist IT department with conference meeting setups
  • Prepare copy, print, and scan projects as needed
  • Assist with facsimile transmissions and distribution
  • Provide delivery and setup of food and beverages for in-office conferences and functions
  • Monitor and stock coffee and copy stations ensuring cleanliness and supply levels
  • Perform minor office furniture repairs and setup new attorneys and secretaries with supplies and equipment
  • Perform relief receptionist duties as required
