Job Requirements

  • Minimum three years of experience in a reception setting, front office, or equivalent
  • proficiency with Microsoft Office including Outlook, Word, and Excel
  • bilingual English/Spanish in reading, writing, and speaking
  • self-starter with strong interpersonal skills
  • ability to manage multiple demands and competing priorities
  • proficiency in handling confidential information

Job Qualifications

Job Duties

  • Answer, screen, and forward all incoming phone calls to the appropriate staff members or departments
  • greet, welcome, and direct all visitors at the front desk
  • maintain a tidy and presentable reception area with all necessary stationary and materials
  • maintain department directories
  • process office supply orders and manage delivery notifications and logistics
  • manage incoming and facilitate outgoing mail and packages, receive and sign for incoming deliveries and notify staff appropriately
  • respond promptly to all email inquiries and questions
  • open and close the office as required
  • assist with general office tasks including photocopying, filing, and data entry
  • provide administrative support as requested
  • ensure compliance with Association protocols and procedures in all functions
