Job Requirements

  • High school diploma or equivalent
  • Spanish speaking required
  • Experience with Microsoft Office Suite required
  • Proven work experience as a Receptionist, Front Office Representative, or similar role
  • Hands-on experience with office equipment
  • Ability to multitask in a fast-paced environment
  • Solid written and verbal communication skills in both English and Spanish
  • Professional attitude and appearance
  • Ability to handle inquiries and provide information efficiently
  • Ability to maintain office security and manage visitor access
  • Ability to organize and coordinate office events
  • Ability to work Monday to Friday 7:30am to 4:30pm
  • Ability to sit for extended periods
  • Ability to lift office supplies occasionally

Job Qualifications

  • Spanish speaking required
  • Experience with Microsoft Office Suite required
  • High school diploma or equivalent
  • Additional certification in office management is a plus
  • Proven work experience as a Receptionist, Front Office Representative, or similar role
  • Hands-on experience with office equipment (e.g., fax machines and printers)
  • Professional attitude and appearance
  • Solid written and verbal communication skills in both English and Spanish
  • Ability to be resourceful and proactive when issues arise
  • Excellent organizational skills
  • Multitasking and time-management skills, with the ability to prioritize tasks
  • Customer service attitude

Job Duties

  • Welcome and greet visitors at the front desk in a warm and professional manner
  • Manage appointment setting and maintain calendars for staff and visitors
  • Receive, sort, and distribute daily mail and deliveries throughout the organization
  • Process checks and handle basic financial documentation
  • Handle employee inquiries and provide accurate information in-person, via phone, and email
  • Set up and coordinate office events, meetings, and activities
  • Answer, screen, and forward incoming phone calls
  • Maintain a tidy and presentable reception area
  • Maintain office security by following safety procedures and controlling access via the reception desk (monitor logbook, issue visitor badges)
  • Perform clerical duties such as filing, photocopying, and faxing
  • Coordinate with facility management for any repairs or maintenance issues
  • Order office supplies and maintain inventory of stock
