Job Requirements

  • High school graduate or equivalent
  • minimum age of 23 years
  • valid Alabama driver’s license with a good driving record
  • proof of current liability insurance

Job Duties

  • Greet all consumers
  • cancel and re-schedule appointments as necessary
  • have consumers sign in
  • answer telephone calls
  • receive consumer requests for appointments, information, and changes
  • record all telephone messages accurately and transfer to appropriate person timely
  • handle routine requests from clinicians
  • key in no shows daily
  • direct consumers to appropriate waiting area
  • handle unscheduled consumers
  • request consumers chart from medical records
  • notify appropriate clinician of consumer’s arrival
  • schedule return appointments
  • review DSR for appointment information
  • review clinician’s schedule and assign appointment times
  • give consumers appointment card with next scheduled appointment
  • protect and maintain confidentiality of all records and patient information
  • perform quality assurance process
  • complete administrative review audits as necessary
  • make copies, fax documents, and perform other clerical duties
  • adhere to 5 star customer service guidelines
  • verify insurance
  • pass out prescriptions from the doctor to the consumer
  • assist with patient assistance pharmacy forms including communication regarding proof of income
  • collect co-payments
  • post payments to consumer accounts
  • write receipts for payments taken
  • prepare deposits for finance and accounting
  • enter billing for various programs
  • enter information into Avatar software
  • assist consumers in receiving travel compensation from Medicaid
  • complete admissions, discharges, and transfers
  • coordinate appropriate services for consumers in crisis
  • pass out daily DSR reports
  • take verbal orders to be signed by medical staff
  • perform relief for other staff members
  • assist with release of protected health information according to policies
  • monitor dictation and transcription services
  • file and locate charts for clinicians
  • seek supervision and consultation as needed
  • accept and employ suggestions for improvement
  • actively work to enhance skills
  • treat consumers with care, dignity, and compassion
  • respect consumer privacy and confidentiality
  • work cooperatively with other employees
  • assist consumers and visitors as needed
  • demonstrate sensitivity to consumer needs and differences
  • be gentle and calm with consumers, families, and others
  • actively participate in performance improvement activities and committees
  • complete assigned tasks timely
  • follow AltaPointe policies and procedures
  • attend appropriate in-service training and workshops offered by AltaPointe
