Job Qualifications

  • Ability to learn various departmental processes and procedures including expense processing and document preparation
  • Strong communication and interpersonal skills
  • Proven ability to manage multiple tasks efficiently in a fast-paced environment
  • Excellent organizational and multitasking skills
  • Experience providing administrative support to leadership teams
  • Ability to handle confidential information with professionalism
  • Demonstrated ability to work well in a team environment
  • Basic problem-solving skills to refer complex issues appropriately

Job Duties

  • Provide administrative support for designated leader team
  • Greet visitors, maintain visitor logs, and issue visitor passes
  • Receive incoming calls, route calls to appropriate contacts and take/relay messages
  • Manage high-volume telephone traffic via multi line phone system
  • Coordinate visitor traffic in accordance with central securities guidelines
  • Receive and log incoming packages
  • Receive messenger and courier deliveries and notify mail room and or appropriate team members
  • Update/maintain contacts and additional online lists for Security and Team Members
  • Provide backup support for other office team responsibilities including intra-office relocations and workspace arrangements
  • Ensure office equipment and supplies are properly ordered, stocked, maintained and replaced as necessary
  • Make sure kitchens are stocked with supplies
  • Maintain office equipment and supplies such as printers, ink, toner, paper
  • Order and maintain inventory of office and coffee supplies
  • Correspond with building maintenance and vendors for repairs and other requests
  • Ensure facilities upkeep and work with facilities team to address/resolve repairs and other requests
