Job Qualifications

  • Previous experience in a higher education setting, particularly within Athletics, Enrollment, or Student Life, is highly desirable
  • higher education degree is preferred
  • excellent communication skills with demonstrated ability to communicate effectively using tact, patience, and courtesy with individuals from diverse backgrounds and cultures
  • effective organizational skills
  • high technical aptitude
  • strong computer skills with a high level of competency using Microsoft software including, but not limited to Word, Excel, PowerPoint, and Outlook

Job Duties

  • Serve as the administrative support and liaison to designated administrators for a variety of clerical and administrative duties
  • initiate action on behalf of the Athletic Director, the Associate Athletic Director, the Vice President for Student Development, and other designated staff
  • manage daily operations of the athletic department
  • serve as the primary receptionist for the Athletic Department
  • greet guests, create and maintain a strong office atmosphere, answer telephones, relay messages, screen and route calls and visitors, and resolve administrative issues according to established guidelines
  • provide administrative support to and serve as a resource for athletic administration, staff, and coaches
  • maintain the calendars of the Athletic Director, Associate Athletic Director, and athletic facilities as needed
  • provide calendar management, travel planning, event management, human resource management support, front desk coordination, operations support, and project support
  • be responsible for the physical office space associated with the Athletic Department
  • facilitate incoming and outgoing mail
  • organize mass and individual mailings
  • coordinate new-hire paperwork for all new staff members and maintain directory information for all staff members in the Athletic Department
  • assist with the hiring process and onboarding of new athletic department employees
  • plan, coordinate, and assist with special projects and department events
  • travel coordination
  • book hotel accommodation for athletic teams and recruit visits
  • provide administrative and programming support for tri-athlete model initiatives helping to promote student-athlete success in academics, athletics, and as champions of character through collaboration with departmental staff and campus partners
  • assist in tracking and documenting assessment activity for all areas of Athletics
  • operate a variety of office equipment such as computers and related software, printers, and copy machines
  • order and maintain inventory of equipment, materials and office supplies
  • review documents, records, lists, tables, and other materials for accuracy, completeness and conformance with applicable rules and regulations
  • assist with office functions including the development of marketing materials, bulletin boards, and newsletters to be used in relation to the Athletic Department
  • partner with Athletic Department Leadership to manage and coordinate student-athlete transcript files, letters of intent and scholarship communication, and roster upkeep in Jenzabar
  • liaise and work with other Office Managers and Administrative Assistants to facilitate communication between Athletics and other departments on campus
  • serve as point person for Athletic Department facility rentals, facility calendars, and facility communication
  • assist in the development and preparation of reports, meeting materials, budgets and other reports as needed
  • accept new projects as assigned and be alert to new initiatives that are consistent with the general scope of the position
  • advise and mentor student athlete leaders when applicable or assigned
  • supervise designated student employees
  • responsible for supervision, mentorship, and support of student workers, undergrad interns, and graduate interns
  • attend all Athletic Director and or Vice President for Student Development assigned events and functions
  • perform related duties as assigned
