Job Requirements

  • 1-3 years of administrative experience including office management or executive assistant roles
  • Strong organizational abilities to manage multiple priorities and meet deadlines
  • Excellent written and verbal communication skills
  • Ability to professionally interact with senior stakeholders and clients
  • Flexibility and adaptability to work in a fast-paced environment
  • Tech-savvy mindset with attention to automation and processes
  • Knowledge of Microsoft Office applications, CRM experience is advantageous

Job Qualifications

  • Proven experience in administrative roles such as office manager, executive assistant, or receptionist
  • Strong organizational skills with the ability to manage multiple priorities and deadlines
  • Excellent written and verbal communication skills
  • Ability to interact professionally with high-level stakeholders, clients, and employees
  • Collaborative and flexible work approach
  • Tech-savvy with proficiency in Microsoft Office Applications including Outlook, Word, and Excel
  • Familiarity with CRM software such as HubSpot or Salesforce is a plus

Job Duties

  • Oversee daily office operations and be the primary point of contact for all office-related matters
  • Maintain inventory levels for office supplies
  • Manage relationships with office vendors and service providers, including equipment maintenance
  • Act as liaison for facilities issues and coordinate office maintenance
  • Organize team events, client meetings, and other internal and external functions
  • Handle food and beverage management including ordering and coordinating lunch, stocking kitchen supplies, and maintaining kitchen cleanliness
  • Provide all-inclusive executive assistant support to the CEO, anticipating needs and managing schedules
  • Coordinate complex calendars and schedule meetings, travel, and events for the CEO
  • Organize domestic and international travel arrangements including flights, hotels, and ground transportation
  • Manage CEO inbox, organize and prioritize communications
  • Prepare and submit expense reports timely
  • Handle sensitive and confidential information with discretion
