Job Requirements

  • Education level: associate's degree or equivalent experience
  • minimum 3 years of administrative experience
  • strong organizational and communication skills
  • proficiency with basic IT support
  • experience with database management and data entry
  • ability to work independently and collaboratively
  • flexibility to work evenings and weekends
  • willingness to assist at offsite events
  • knowledge of office management and volunteer coordination
  • ability to manage vendor relationships and office logistics
  • attention to detail in financial processing
  • effective customer service skills

Job Qualifications

  • Associate's degree or equivalent experience in business administration, data management or related field preferred
  • 3+ years administrative experience
  • strong organizational skills and attention to detail
  • ability to analyze information and anticipate situations requiring forethought and follow-up
  • ability to work independently and succeed in a fast-paced, collaborative environment
  • excellent proofreading skills
  • effective communication with diverse populations
  • excellent telephone and in person customer service skills
  • experience with Canva and/or Adobe Creative preferred
  • experience with CRM systems such as Convio, Luminate, or Personify a plus
  • ability to work evenings and weekends as needed
  • agreeable to assist at offsite events as needed

Job Duties

  • Provide general support to visitors and ensure phone coverage for West Virginia office and handle customer inquiries and complaints
  • maintain a safe and secure working environment
  • manage work requests, office supply orders and relationships with vendors, service providers and landlords
  • lead efforts in identifying, analyzing, revamping, and implementing changes in chapter operations policies and procedures to improve effectiveness and efficiencies
  • assist with data entry for West Virginia program rosters into the database
  • recruit, supervise and train unpaid volunteers working in the office and assist in volunteer training for fundraising events
  • handle distribution of monthly program newsletter and posting volunteer opportunities
  • provide basic onsite IT support to staff
  • update templates with Walk specific content, manage large group volunteers for top market Walks, draft eblasts and text messages
  • design and order walk signs and supplies
  • coordinate truck rentals and logistics for Walk season
  • provide administrative support for chapter programs and fund-raising initiatives including audits of program data
  • assist with welcome calls to teams as needed
  • process mail and revenue in person and virtually for West Virginia
  • ensure invoices are paid on time
