Job Qualifications

  • experience in office coordination or administrative support
  • proficient in Microsoft Office and common office equipment
  • strong organizational and multitasking abilities
  • excellent communication and interpersonal skills
  • ability to work independently and as part of a team
  • experience with visitor management and access control systems preferred
  • basic understanding of mailroom and shipping procedures
  • knowledge of office supply procurement and vendor coordination

Job Duties

  • Check and distribute incoming mail
  • drop off and schedule pickups for outgoing mail
  • stock kitchens and supervise communication with service providers
  • reserve conference rooms
  • assist with setting up for events including ordering catering, menu planning, setup, and cleanup
  • order office supplies from vendors such as Staples and Amazon
  • perform cost comparisons and research for office and kitchen supplies
  • stock copy rooms
  • submit building requests via IMPAK Portal and coordinate with contractors for repairs and equipment servicing
  • set up services for field offices such as janitorial
  • greet visitors in the lobby and notify hosts or assist as needed
  • manage Kastle badges, access, and garage tags
  • coordinate with Kastle to set up shared access profiles between division offices
  • organize office setups including furniture, supplies, badges, and welcome packets
  • oversee office moves, manage furniture inventory, and coordinate movers
  • maintain office plants
  • administer fire procedures
  • clean out personal and work items from trucks being turned in and issue new trucks
  • greet visitors at receptionist desk and answer division phone line
  • manage outgoing and incoming mail including stamping and mailbox delivery
  • sign for FedEx and UPS deliveries and notify employees of package delivery
  • print FedEx and UPS labels and assist with package tracking
  • perform scanning and data entry tasks
  • respond to payment status inquiries from vendors
  • process simple invoices
