Job Requirements

  • High School Diploma or GED
  • Minimum two years of experience in administrative support or customer service
  • Valid driver’s license
  • Ability to work flexible schedule including occasional beyond normal hours
  • Comfortable working in a kennel/shelter environment with exposure to animals
  • Ability to lift up to 30 pounds occasionally
  • Proficiency in basic computer applications
  • Willingness to handle animals in the work environment
  • Able to maintain confidentiality
  • Availability to work part-time regular hours
  • Comply with drug testing policies
  • Valid driving record in accordance with ASCMV policy

Job Qualifications

  • High School Diploma or GED
  • Two years of experience in administrative support or customer service
  • Demonstrated computer skills with word processing, spreadsheet and email software
  • Valid driver’s license with an acceptable driving record
  • Bilingual skills English/Spanish desirable
  • Associate’s Degree in Business Administration, Office Administration, Human Services, or related field preferred
  • Ability to prioritize tasks and meet deadlines
  • Excellent verbal and written communication skills
  • Ability to handle animals safely
  • Ability to work independently and use initiative

Job Duties

  • Serve as front-desk receptionist greeting the public and responding to inquiries in person, by phone, or email
  • Schedule and confirm appointments for animal intake, adoptions and vaccinations
  • Perform clerical duties including filing, document preparation, data entry and recordkeeping
  • Maintain and organize shelter records in both electronic and paper formats
  • Assist with purchasing, inventory tracking and supply management
  • Coordinate incoming and outgoing mail, deliveries and internal communications
  • Support administrative staff with special projects, reports, and event planning
  • Handle sensitive information with discretion and maintain confidentiality
  • Assist in coordinating or attending community outreach events or mobile services
  • Safely handle animals as needed including leashing, walking, and moving them
  • Process cash, credit, and debit transactions ensuring accuracy and compliance
  • Provide high quality customer service actively promoting the organization’s mission and services
  • Assist the public with animal intake and adoption processes including counseling and education
  • Accurately complete paperwork related to adoption agreements, microchip registration, licenses, owner reclaims and relinquishments
  • Assist with scheduling sterilization surgeries
  • Complete timely and accurate computer data entry ensuring data integrity
  • Manage incoming financial transactions and balance cash drawer
  • Assist with follow-up phone calls to finalize adoptions and schedule surgeries
  • Assist with off-site events including adoptions, clinics, or community events
  • Maintain a clean and safe environment for animals and public
  • Participate in animal stress and disease reduction efforts
  • Treat animals humanely, properly, and with compassion at all times
