Job Requirements
- one year of general clerical experience or equivalent combination of training and experience
- valid class c california driver's license with acceptable driving record
- ability to type accurately and efficiently
- clear spoken communication skills
- ability to perform routine clerical work
- ability to establish and maintain working relationships with staff and the public
- ability to work independently and attend to detail
Job Qualifications
- one year of clerical experience for entry level or two years of typing and clerical experience for experienced level
- knowledge of telephone and office receptionist etiquette
- understanding of basic English grammar, spelling, and punctuation
- familiarity with alphanumeric filing and retrieval systems
- proficiency in office methods and clerical recordkeeping procedures
- ability to type at sufficient speed
- ability to communicate clearly
- ability to work independently
- ability to attend to detail
- knowledge of district procedures and operations for Office Assistant II
Job Duties
- acts as a receptionist
- takes and transmits messages
- takes and refers complaints from the public
- receives and transfers calls to appropriate extension
- provides general agency information and alternative telephone numbers to public callers
- greets and routes office callers
- types lists, memos, letters, forms, permits, reports, and other documents
- makes routine checks of clerical work for compliance with specific requirements
- searches records and files for data
- performs all types of filing including alphabetical, numerical, chronological, and code
- tracks and updates information, mailed documents, and manuals
- makes travel arrangements including hotel, airline, and rental car reservations
- completes necessary paperwork for reservations and conference/workshop attendance
- completes forms for reimbursement
- schedules meetings and appointments
- makes room arrangements
- processes petty cash reimbursements
- collects and delivers correspondence, records, and packages
- stamps, sorts, and distributes incoming mail and faxes
- assists with or prepares mass mailings
- processes outgoing mail
- copies documents on the photocopy machine
