Job Requirements
- High school diploma or equivalent
- prior experience in an administrative, office coordination, or operations support role
- ability to handle confidential and sensitive information with discretion
- strong attention to detail
- clear written and verbal communication skills
- ability to work onsite in Santa Barbara up to 15 hours per week
- dependable and punctual
- basic proficiency with email, Slack, Google Drive, and scanning applications
- ability to coordinate with vendors and manage office access

- familiarity with office vendors and facilities coordination
Job Duties
- Serve as the primary onsite contact for building and facilities issues such as HVAC, power, leaks, and restrooms
- coordinate with vendors for cleaning, water delivery, snacks, and occasional extra cleanings
- manage office access items including keys and garage remotes and assist employees locked out
- support basic office technology including internet disruptions, Wi-Fi issues, Zoom Room setup, and office TVs
- coordinate technician access as needed
- oversee shared office systems such as door access platforms and mailboxes
- receive, sort, and process incoming mail with confidentiality and accuracy
- prepare weekly check shipments to lockbox following procedures
- scan, route, upload, or shred mail based on internal guidelines
- identify and escalate time-sensitive or legal mail
- handle seasonal mail volume increases
- coordinate monthly and occasional team meals and visits
- assist with executive and board meeting logistics
- support company-wide meetings by distributing materials and collecting questions
- help coordinate annual holiday events
- provide light ad-hoc administrative support to executives as bandwidth allows
