Job Requirements
- Bachelor’s degree preferred
- experience in event planning or project management minimum 2 years
- strong understanding of negotiation and contract interpretation preferred
- valid motor vehicle operator’s license and good driving record required
- knowledge of equestrian industry trends and sanctioning/licensing regulations
- proactive project management approach with excellent time management
- superior interpersonal and communication skills
- ability to collaborate with multiple departments
- ability to multi-task meetings and events
- interest in social media and digital media marketing
- proficiency with Microsoft Office and editing software
- availability for evening, weekend and holiday work assignments
Job Qualifications
- Bachelor’s degree preferred
- field of study in marketing, business, parks and recreation management, communications, advertising, event management or related fields
- minimum of 2 years’ experience in event planning or project management
- strong understanding of contract negotiation and interpretation preferred
- knowledge of equestrian industry trends and sanctioning/licensing rules
- proactive project management and excellent time management skills
- superior interpersonal and communication skills
- ability to collaborate across departments
- ability to manage multiple meetings or events simultaneously

- proficiency with Microsoft Office, web search engines, and photo/video editing software

Job Duties
- Answer telephones and greet visitors
- provide information on facilities, programs and events hosted by the National Equestrian Center and County Parks system
- respond to venue rental inquiries and participate in trade shows and community organizations to maintain visibility and achieve sales goals
- develop and enhance relationships with key accounts to maintain and increase event market share
- send proposals and negotiate new and repeat business to maximize revenue
- upsell food and beverage, amenities, audiovisual equipment rentals, and special request services
- research and identify target prospects for sponsorships and event proposals
- maintain strong client relations and facilitate accurate communication of event specifications and rental terms
- solicit and secure license agreements for new and renewing event packages
- conduct lead generation for acquisition of new sponsors and grow revenue from existing sponsors
- work with Park Administration to set fee schedules and sponsorship pricing
- document client interactions and sales history to promote continuity of excellent service
- maintain up-to-date knowledge of facility rental offerings, food and beverage policies, and in-house events
- set up master invoices and ensure payments according to contracts
- maintain Outlook mailboxes and calendars, handle cash, assist with reservations, and respond promptly to inquiries
- provide administrative support including inventory management, task list assistance, research and professional correspondence
- collaborate to schedule and promote content on social platforms consistent with brand voice
- attend events for content gathering including photoshoots and video interviews
- fill in and support events to ensure efficient operation
- perform special projects and participate in management committees
- document and secure community partner sponsorships and donation agreements
- assist with Park Programming and activities as needed
- work with staff to analyze pricing and expense strategies
- perform other duties as assigned
