Job Requirements
- Bachelor's degree in tourism and events management or related field, or equivalent experience or training
- minimum of two years of experience in planning and coordinating special events
- ability to work flexible hours including nights, weekends, and holidays
- strong communication and organizational skills
- self-motivated with problem-solving abilities
- proficiency with Microsoft Office software
- ability to perform essential job functions with or without reasonable accommodation

Job Duties
- Provide support to Facility Rentals Manager
- respond to customer inquiries in a timely manner and conduct site visits when needed
- assist Facility Rentals team with recruiting new business and maintaining satisfied clients
- assist and attend weekly meetings to make all staff aware of upcoming needs and responsibilities
- serve as liaison with food service contractors, entertainment groups, rental companies, and other vendors to ensure resource availability for external events and on-site representation
- deliver exquisite customer service to clients and proactively anticipate needs
- perform pre-event walk throughs to ensure customer expectations are met and exceeded, coordinating with others to ensure correct setups and readiness of facility
- communicate event needs ahead of time to Maintenance, Security, AV, Experiences, Housekeeping, Education/Programming and Visitor Experiences departments
- ensure administration of event rentals is efficient and well-maintained with timely correspondence and adequate client record keeping
- assure proper post-event follow-ups and client evaluations to measure satisfaction
- maintain professional appearance and behavior at all times
- work cooperatively to assist the museum in achieving its mission
