Job Requirements
- High school diploma or equivalent required
- Previous experience in office administration or related field
- Strong organizational and multitasking skills
- Ability to communicate clearly and professionally
- Proficiency with computer software including Microsoft Office suite
- Willingness to work onsite at least four days a week
- Capability to lift up to 10 pounds
- Commitment to affirm the Wheaton College Statement of Faith and Community Covenant
- Ability to work cooperatively in a diverse, Christ-centered environment
Job Qualifications
- Work experience in a fast-paced office environment
- Demonstrated professional attitude with close attention to detail
- Experience with project management and a bias toward action, familiarity with Asana preferred
- Strong verbal and written communication skills
- Ability to manage multiple projects and competing priorities effectively
- Proficiency in Microsoft Office, especially Excel
- Developing competency in marketing platforms such as WordPress and HubSpot preferred
- Bachelor’s degree preferred but not required
Job Duties
- Manage general email and phone communications to provide timely responses to pastors and ministry leaders
- Update and maintain email lists within HubSpot database
- Monitor HubSpot workflows and website form integration
- Track contributions and donor engagement using Neon CRM for acknowledgements and follow-up
- Write or proofread promotional and fundraising emails and assist with graphic design and social media
- Support website content updates using WordPress
- Manage registration, guest services, sponsorships, and logistics for the annual Amplify Conference hosting 600 guests
- Coordinate room reservations, catering, registration, and guest services for monthly WCBGC events and lectures
- Manage guest speaker itineraries and hospitality
- Process mail and deposits through campus office and credit to appropriate funds
- Handle purchase orders, invoices, and deposits in Oracle accounting system
- Assist with budget tracking and financial reporting
- Warmly greet office guests and maintain office hospitality
- Support hybrid work environment through calendar management and digital file organization
- Maintain physical office environment and storage efficiency
- Manage scheduling and technical support for conference room and recording studio
- Coordinate student worker assistance for projects and events
- Support staff meetings and hospitality
- Oversee orientation of new employees and guests
- Maintain key ministry metrics and shared projects scorecard in Asana
- Schedule complex meetings for the Executive Director
- Represent the Executive Director in communications with ministry partners, participants, and donors
- Support staff care through coordination of retreats, meetings, and development opportunities
- Assist in preparation and facilitation of Board meetings including minutes and follow-up
- Take minutes at Wheaton Evangelism Group meetings and track action items
