Job Requirements

  • High school diploma or equivalent
  • Bachelor’s degree in hospitality, communications, or business preferred
  • 2-4 years of front-of-house or administrative experience in luxury hospitality or private club environment
  • Proficiency in Northstar, Jonas, or equivalent CRM
  • Exceptional verbal and written communication skills
  • Strong organizational skills
  • Ability to multitask and manage sensitive information
  • Flexibility to work evenings, weekends, and holidays

Job Qualifications

Job Duties

  • Serve as the primary point of contact for members delivering a polished, welcoming, and professional experience in person, by phone, and by email
  • Respond promptly and accurately to all membership inquiries, including reservations and Club amenities
  • Build genuine relationships with members, demonstrating empathy, discretion, and proactive service to enhance satisfaction and loyalty
  • Maintain and regularly update the membership roster, ensuring that all member information is accurate, confidential, and compliant with Club standards
  • Upload and organize membership files, contracts, and documents into the Club's CRM system for accurate recordkeeping and accessibility
  • Assist with the intake, processing, and onboarding of new members including application tracking, account setup, and welcome communications
  • Prepare departmental reports, member listings, and data exports for leadership review as requested
  • Assist with planning, setup, and on-site coordination of membership events including orientations, gatherings, tournaments, and social functions
  • Manage member RSVP lists, confirmations, and name badge preparation ensuring seamless check-in experiences
  • Collaborate with the Director of Membership to enhance event logistics, communication, and post-event follow-up
  • Provide high-level administrative support to the Director of Membership including scheduling, correspondence, and project coordination
  • Support departmental communications, newsletters, and member notifications as needed
  • Manage membership inquiries and requests through the CRM ensuring timely follow-up and accurate documentation
  • Partner with Tennis, Fitness, and Food & Beverage teams to coordinate cross-departmental member experiences and maintain communication flow
