- Bachelor's degree or equivalent experience preferred
- Ability to work a flexible schedule including non-traditional hours
- Willingness to travel if needed
- Experience in event coordination or meeting planning
- Strong organizational and multitasking ability
- Excellent written and verbal communication skills
- Customer service experience in a professional environment

- Experience with project management platforms such as Asana
- Ability to learn new software and internal systems quickly
- Analytical and troubleshooting skills
- Experience with event registration or booking systems preferred
Job Duties
- Collaborates on daily operations of NCAA Conference Center with meeting and event planning team and vendors
- Demonstrates meeting planning skills for NCAA internal meetings including room setups, catering, and audio-visual needs
- Acts as client interface for Short's Travel meeting and events office at NCAA
- Learns and utilizes Short's Travel systems for meeting requests, registration, purchase card use, and reconciliation
- Assists directors and managers as needed
- Provides excellent customer service with strong listening, negotiation, and communication skills
- Communicates effectively via phone, email, and in-person
- Supports venue sourcing and contracting with restaurants including negotiation and contract review
- Coordinates food and beverage menu planning for internal meetings
- Manages multiple projects ensuring accuracy and attention to detail
- Oversees meeting requests and event documentation in internal systems
- Assists with event registration platforms and attendee tracking
- Prepares and distributes event reports, rooming lists, and summaries
- Provides administrative support including scheduling, documentation, inbox monitoring, and clerical tasks
- Demonstrates flexibility and teamwork by supporting other departments as needed
