Job Requirements
- Bachelor's degree in life sciences and/or related field
- Minimum of three years' experience in life science event planning including venue selection, contract negotiation, onsite coordination, and compliance documentation and reporting
- Proficiency in Microsoft Office applications
- Strong written and verbal communication skills
- Ability to work independently and collaboratively within a team
- Willingness to travel 50-70 percent including weekends
- Ability to manage multiple projects in a fast-paced environment
- Familiarity with event management software preferred
- Compliance with federal, state, and AATB guidelines
- Ability to adhere to company policies, procedures, and SOPs
Job Qualifications
- Bachelor's degree in life sciences or related field
- At least three years' experience in life science event planning including venue selection, contract negotiation, on-site coordination, and compliance documentation and reporting
- Proficiency in Microsoft Office applications
- Strong written and verbal communication skills
- Ability to work autonomously and as part of a team
- Experience as an event moderator or host preferred
- Medical device and/or continuing medical education (CME) event experience preferred
- Proven track record of vendor negotiation preferred
Job Duties
- Serve as the front-line communication for key opinion leaders, internal team members, course participants, sales representatives, and vendors related to educational program coordination
- Source locations and venues for national and regional medical education events including hotel and restaurant sourcing and contract negotiations
- Implement processes to streamline planning, execution, follow-up, and cost containment for educational courses
- Coordinate attendee travel, accommodations, and venues for educational programs
- Coordinate and ensure delivery of educational course materials and programs including product/demo ordering, inventory tracking, and shipment coordination
- Ensure all medical education events remain within budget by regular tracking and reporting
- Utilize various event management systems including CVENT, Microsoft Dynamics CRM, MedCompli, Zoom, and Concur
- Compile and submit regulatory and compliance documentation for all medical education programs
- Represent the Medical Education team in cross-functional activities such as S&OP meetings, budget reporting, and quality audits
- Coordinate and manage all event logistics onsite including attendee travel, hotel room and meeting space requirements, cadaver/wet lab setup and teardown, freight and FedEx shipments, AV coordination, and event food and beverage
- Comply with all company policies, procedures, and SOPs
- Hire and oversee contractors and interns as needed
- Assist in work areas outside usual duties as required
- Perform all other duties as assigned
