Job Requirements

  • At least two to four years of experience in event management, catering sales, or banquet operations within a hotel or upscale catering environment
  • Must be willing to work a flexible schedule including varied shifts
  • Must be a self-motivator
  • Ability to work safely, prudently, and organized
  • Mathematical skills and computer software aptitude
  • Knowledge of hotel operations and hospitality software preferred
  • Ability to relate to all levels of management
  • Ability to handle multiple tasks simultaneously
  • Superior organizational skills with procedural adherence
  • Ability to work in fast-paced and high-pressure environments
  • Legal eligibility to work in the jurisdiction
  • Able to perform physical tasks such as standing, walking, bending, and lifting up to 25 pounds
  • May be required to operate a motor vehicle
  • Must have strong communication skills

Job Qualifications

  • Four-year college degree in hospitality management, marketing, business, or related field or equivalent experience
  • Experience managing event life cycle from client consultation to post-event follow-up
  • Knowledge of food and beverage service standards and banquet operations
  • Strong negotiation and client relationship-building skills
  • Experience managing event budgets and financial forecasting
  • Ability to collaborate with vendors and multiple departments for seamless event execution
  • Experience leading event teams and ensuring high service standards
  • Skills in problem-solving and crisis management during events
  • Familiarity with event management software, catering platforms, and CRM systems
  • Strong attention to detail ensuring alignment with client expectations and brand standards
  • Effective verbal and written communication and negotiation skills
  • Experience in event proposal, contract, and banquet event order management
  • Proven track record managing high-profile corporate or social events
  • Leadership experience coordinating largescale events
  • Reading, writing, and oral proficiency in English

Job Duties

  • Utilize CI/TY system for accurate blocking of events, groups, traces, and generation of BEOs
  • Generate Banquet Event Orders, group resumes, function room diagrams, and business correspondence
  • Fully manage guest room block details, including rooming lists and confirmation numbers
  • Ensure all groups have proper billing established and payments executed as per contract
  • Obtain guarantees for food and beverage functions and all information required for group resumes
  • Receive and respond to customer inquiries within the deployed market
  • Provide marketing collateral to clients and guests
  • Prepare and send proposals and contracts to potential clients
  • Obtain necessary approvals, permits, and insurance certificates for functions
  • Chair pre-conference and post-conference meetings
  • Communicate group information and changes to hotel colleagues accurately and timely
  • Entertain clients as appropriate
  • Maintain an active trace system for assigned groups
  • Visit primary and secondary competition sites
  • Audit banquet checks for assigned groups
  • Contract business with approved vendors and approve payments
  • Book and detail all local catering leads
  • Coordinate all aspects of groups, meetings, and events including food and beverage, timing, audiovisual, guest needs, room allocations, transportation, check-ins, billing instructions, amenities, and other specific requests
  • Support team members in coordinating local meetings and professional functions
  • Respond to inquiries, RFPs, confirm function space, generate and execute contracts, secure deposits and payments
  • Ensure event success to achieve repeat business
  • Perform other duties as requested by management
