Job Requirements

  • At least two to four years of experience in event management, catering sales, or banquet operations within a hotel or upscale catering environment
  • Proven client-facing experience managing high-profile corporate or social events
  • Prior leadership experience coordinating multiple departments for large-scale events
  • Experience in creating event proposals, contracts, and banquet event orders (BEOs)
  • Proficiency in reading, writing, and oral English
  • Willingness to work flexible schedules including varied shifts
  • Self-motivated with strong organizational skills
  • Ability to work safely and prudently in a busy environment
  • Mathematical and computer software aptitude
  • Knowledge of hospitality industry applications, CI/TY preferred
  • Capability to multitask and follow policies and procedures
  • Ability to perform under pressure and handle competing priorities
  • Must satisfy legal employment requirements within the jurisdiction.

Job Qualifications

  • Four-year college degree in hospitality management, marketing, business or related degree or equivalent experience
  • CI/TY experience highly preferred
  • Ability to oversee full event life cycle from initial consultation to post-event follow-up
  • Knowledge of catering and banquet operations including food and beverage service standards
  • Strong negotiation, contract management, and client relationship-building skills
  • Experience managing event budgets, pricing, and revenue forecasting
  • Ability to collaborate with multiple departments and vendors
  • Leadership and team management experience
  • Problem-solving and crisis management abilities
  • Familiarity with event management software and CRM systems
  • Attention to detail to align events with client expectations and brand standards
  • Effective verbal and written communication skills.

Job Duties

  • Utilize CI/TY system for accurate blocking of events, groups, traces, and generation of BEOs
  • Generate Banquet Event Orders, group resumes, function room diagrams, and business correspondence
  • Fully manage guest room block details including rooming lists and collaboration with front office
  • Ensure proper billing and payment execution for groups per contract
  • Obtain guarantees for food and beverage functions and prepare group resumes
  • Provide marketing collateral to clients and respond to inquiries
  • Prepare and send proposals and contracts to potential clients
  • Obtain necessary approvals, permits, and insurance certificates for functions
  • Chair pre-conference and post-conference meetings and communicate group information to hotel colleagues
  • Entertain clients as appropriate and maintain an active trace system for assigned groups
  • Visit primary and secondary competition venues
  • Audit banquet checks for assigned groups
  • Contract and approve payment with vendors
  • Book and detail all local catering leads
  • Coordinate comprehensive aspects of groups, meetings, and events including catering, setup, transportation, billing, and special requests
  • Support team members in local meetings coordination including responding to inquiries, managing RFPs, and executing contracts
  • Ensure success and client satisfaction for events, facilitating repeat business.
