Job Requirements

  • Bachelor's degree in Event Management, Hospitality, Communications, or related field
  • Minimum 5 years of corporate event planning experience
  • Experience in pharmaceutical, biotech, or scientific research settings preferred
  • Strong time management and organizational skills
  • Ability to manage multiple events simultaneously
  • Experience with budget management and vendor negotiations
  • Knowledge of event technologies and hybrid event platforms
  • Excellent communication and leadership skills
  • Ability to adapt to changing priorities
  • Familiarity with R&D or scientific organization culture is a plus
  • Certification in Meeting & Event Planning (CMP or equivalent) is a plus
  • Knowledge of front-of-house operations and workplace hospitality standards is a plus

Job Qualifications

  • Bachelor's Degree in Event Management, Hospitality, Communications, or related fields
  • 5+ years of experience in corporate event planning, preferably in a pharmaceutical, biotech, or scientific research setting
  • Demonstrated expertise in time management and organizational skills, with a proven ability to plan, coordinate, and execute multiple events simultaneously in fast-paced environments
  • Proven ability to navigate change effectively, with knowledge of tools and techniques for adapting to evolving environments and shifting priorities
  • Experience managing small to mid-size event budgets, with foundational knowledge of contractual terms and proven vendor negotiation skills
  • Proficiency in event technologies and hybrid delivery platforms

Job Duties

  • Manage and mentor an event coordinator and concierge, providing direction, support, and performance oversight to ensure seamless execution across all events and front of house hospitality operations
  • Lead the end-to-end planning and execution of internal and external events by managing all logistics such as venue setup, vendor coordination, material coordination, transportation, travel, catering, AV/tech support, and hybrid/virtual delivery
  • Serve as the event project manager by developing timelines, facilitating planning meetings, and collaborating with cross-functional partners to drive deliverables and ensure consistent stakeholder communication
  • Design and deliver impactful event experiences tailored to diverse audiences, ensuring alignment with business objectives and enhancing engagement with internal and external stakeholders
  • Collaborate with external and external stakeholders to deliver high-impact scientific events, supporting speaker coordination, agenda development, and content curation tailored to specialized audiences
  • Manage event budgets, contracts, and reporting in alignment with AstraZeneca's procurement standards
  • Partner with the AV provider to coordinate and deliver all audiovisual support required for site-wide operations and events, ensuring seamless technical execution and alignment with program needs
  • Oversee front-of-house concierge operations, ensuring a professional, welcoming, and service-oriented experience for all visitors and employees
  • Engage with senior leadership and cross-functional teams to align on event strategy, objectives, and program goals, providing recommendations that optimize impact while maintaining cost efficiency
  • Collaborate with the Communications team to develop and distribute event-related communications, ensuring timely and accurate information is shared with relevant audiences
  • Analyze post-event feedback and metrics to refine future events and enhance attendee experience
  • Stay current on event technology trends and best practices, especially in hybrid and scientific event formats
