Job Qualifications
- 2-3 years of relevant experience in meetings, events, and/or conferences
- associate or bachelor’s degree preferred but not required
- proficiency in Microsoft Outlook, Excel with pivot tables, Word, PowerPoint
- experience creating and editing documents in Adobe
- some experience with CVENT, Social Tables, BlackBaud, Constant Contact
- exposure to Asana, Monday.com, Basecamp
- proficient in managing budgets, tracking expenses, and maintaining files
Job Duties
- Coordinate and plan assigned meetings and events ensuring timely communication among stakeholders and teams
- develop and maintain project plans driving due dates collaboratively
- interact and communicate with vendors, exhibitors, and stakeholders throughout event planning
- coordinate support materials needed for successful meetings
- negotiate hotel and vendor contracts, coordinate logistics including food and beverage, A/V needs, and meeting room setups
- support meeting and event leads with compiling reports, coordinating materials, assisting travel bookings, securing reservations, contacting vendors for availability and pricing
- review banquet event orders both in advance and on site
- organize print materials, name badges and tent cards
- assist with meeting room and signage setup
- process invoices and payments timely
- provide on-site support during meetings and events addressing unforeseen challenges
- manage and maintain meetings and events department digital files
- coordinate shipment and inventory of event supplies
- process meeting and event requests updating calendars
- manage team inbox responding and escalating requests
- lead assigned events
