Job Duties
- Serve as the point of contact for assigned meetings and events, including external conferences, trainings, seminars and client/team appreciation events
- assist with design, planning and execution of all event aspects such as sourcing, food and beverage, audiovisual equipment, entertainment, travel arrangements, event signs/graphic needs and materials
- leverage and deliver on procedures outlined in playbooks and suggest enhancements
- conduct research and provide resources to help internal stakeholders make decisions
- develop and implement meeting timelines and prepare agendas, invitations and directions
- build strong relationships with stakeholders to meet business needs
- liaise with location services and external vendors to ensure successful meeting execution
- collaborate with other ESS meeting planners to establish best practices
- serve as a trainer and mentor to team members and escalate urgent issues to manager
- host virtual meetings and assist with virtual platform management
- track meeting details including budgets, invoicing and reporting
- review invoices and reconcile firm-issued purchasing card charges
- compile necessary requirements for events requesting CPE credits
- perform other duties as assigned
