Job Requirements
- Bachelor's degree from a 4-year institution preferred
- 3 or more years experience in meeting and event planning preferably in pharmaceuticals or life sciences
- Proficient with event management software and productivity tools
- Strong organizational and multitasking abilities
- Excellent communication and interpersonal skills
- Ability to manage travel requirements
- Availability to work in a hybrid model based in Raynham, MA
- Knowledge of industry compliance standards and legal requirements
Job Qualifications
- Minimum of 3 years experience in a lead planner role within the pharmaceutical or life sciences industry
- Proficiency with Cvent, Excel, and the Microsoft Office Suite
- Strong communication skills with the ability to effectively engage stakeholders and vendors
- Exceptional problem-solving skills and ability to manage multiple priorities simultaneously
- Understanding of compliance regulations including meal caps, state and country laws, and transfer of value reporting
- Ability to work collaboratively in a dynamic team environment
- Experience negotiating vendor contracts and managing event budgets
Job Duties
- Plan and execute all logistics related to conventions and internal events including national sales meetings, training meetings, advisory board meetings, society engagements, tradeshows, and conventions
- Act as the main point of contact for stakeholders ensuring all milestones are communicated and met
- Communicate effectively with exhibit design companies and vendor partners managing housing, badge ordering, booth design, AV/production needs, ground transportation, signage, and ad hoc events
- Build, monitor, and maintain concise and accurate event budgets, negotiate vendor contracts and find creative cost savings while ensuring compliance
- Create clear and simple attendee communications and registration websites and implement accurate communication plans
- Ensure all participants have a positive and memorable event experience from invitation through onsite to departure
- Travel regularly as required
