Job Requirements
- Bachelor’s degree in business administration, communication, hospitality management or related field required
- Minimum 3 years relevant professional experience in meeting management required
- Ability to lead and direct activities of others
- Excellent interpersonal, verbal and written communication skills
- Strong project management, organizational and time management skills
- Ability to handle multiple tasks and resolve issues independently with minimal supervision
- Experience working with contracts and legal agreements related to meetings
- Proficiency in Microsoft Office and meeting management software
- Willingness to travel domestically and internationally approximately 25-30% of the time
- Ability to work extended hours including nights and weekends during events
- Physical ability to lift 30-50 pounds regularly and up to 100 pounds with team assist
- Capability to stand, walk and work for extended periods during offsite events
Job Qualifications
- Bachelor’s degree in business administration, communication, hospitality management or related field
- CMP designation preferred
- Minimum 3 years relevant professional experience in meeting management
- Experience includes hotel or convention center meeting management or similarly-scoped meeting planning
- Excellent interpersonal, verbal and written communication skills
- Strong project management, organizational, prioritization and time management skills
- Demonstrated ability to lead and direct others
- Proficiency in Microsoft Office and meeting management tools such as Cvent, Smartsheet, or social tables
- Understanding of contracts and legal agreements related to meeting planning
- Ability to establish, manage and meet event budgets
Job Duties
- Define and manage meeting space and room block requirements for educational programs
- Evaluate RFPs and make recommendations on location and facility
- Coordinate and participate in site inspections
- Contribute to budget preparations, tracking and reconciliation of meeting expenses
- Manage pre-planning meetings with Educational Programs team and coordinate meeting information
- Develop meeting specifications including timeline, food and beverage, room set-up, audio visual and technology
- Initiate proposals, negotiate and manage vendors and contracts
- Determine staffing requirements including selection, scheduling, training, overseeing and invoicing
- Coordinate attendee information, confirmation letters, registration and customer service
- Lead onsite execution of program activities including food and beverage, audio visual, meeting room set-ups, shipping, risk management and session monitoring
- Troubleshoot and solve onsite problems
- Provide evaluation and feedback post-program to improve future events
- Track statistics for attendance, expenses, registration and hotel history
- Assist supervisor with site selection process, contract monitoring, and master meeting schedule maintenance
